My Day, Tasks, Calendar

The “My Day” section of Infusionsoft helps you stay on top of the Tasks, Appointments, and “next actions” that keep your business organized, your follow up on schedule, and your deals on track. To access the “My Day” in your Infusionsoft application, you will need to add the quick link to your “My Nav” home screen. Hover over the navigation icon, and under the “My Nav” section, click the “edit” button. The “Tools” section will open to the far right, next to the Admin section. Click on “My Day” and drag it over to the “My Nav” section of the menu. You can click and drag the My Day up or down to order it among your My Nav links. When finished, click the “Done” button. You will now find the “My Day” with your other quick links just below the navigation bar on the “My Nav” page. Click “My Day” to get started. Across the top of the page are three headers, “My Day”, “Calendar”, and “All Tasks”, with the “My Day” tab pre-selected. The “My Day” tab is a quick view workspace for your appointments, tasks, and follow up tasks with opportunity records. Your current appointments are listed in the Appointments section in the top left of the page. They are listed in chronological order. Click on the appointment card to open appointment details in the workspace. The appointment summary opens in the workspace along with the quick view of the contact attached to this appointment.. The appointment can be deleted by clicking the “trash can” icon, or edited by clicking the “pencil icon” to the right of the appointment title. You can assign this appointment to another user, edit appointment details, or change the date range to reschedule this appointment on your calendar. Remember to click the green “save “ button when your changes are complete. The quick view of the contact record has the note tab automatically open and ready to add a note about your appointment. There is an “Add” button on the appointment tab enabling you to quickly add an appointment to your calendar, The appointment icon on the contact record can also be used to create a new appointment. You can click the “calendar “tab at the top of the page for a more comprehensive view of appointments and tasks on your calendar. You can change the month with the arrow tabs in the upper left corner, and, you can change the calendar view to a “day view” or a “week view” on the right. If you have multiple users in your system, you can toggle to their calendars using the user list box in the upper right hand corner. To add a new appointment or task from the calendar view, click the day and choose “Add new appointment” or “Add new task”. The “Task” section of the “My Day” lists your current tasks in order of “overdue”, “due today” and “due tomorrow”. Click on a task to open the task details and the contact record attached to the task, in the work space. A check box appears to the left of the task in the task list. Click this box to mark this task as complete. Each task has a flag on the task card that is a quick reference, represents the individual task priority. The task priorities are “Critical” represented by a red flag, “essential” represented by a yellow flag, and “Non essential” with no flag at all. The editing features and calendar view for tasks is similar in function to appointments. For a list view of tasks, click the “All Tasks” icon at the top of the page. You can create task lists here by user, date range, and priority. By clicking the Actions button on the left hand side, you can run actions on an individual task or a list of tasks. These actions include; export, delete, print , or reassign. The “Opportunities “section is populating tasks based on the “next follow up action” section from the individual opportunity record. It is important to note that this section of the “my day” only populates data if you are utilising opportunity records and the sales pipeline tool. If you are, This is a great place to track your follow up actions with the deals in your pipeline. I will go to my Dashboard and open an Opportunity record from my sales pipeline reporting widget. The “next follow up action” is on the left hand side under the “General“ tab. When I add a note for my next follow up action, choose a due date & time, and save, a task is created, and added to my Infusionsoft calendar. These Opportunity tasks are marked with a dollar sign on the calendar view to differentiate them from a regular task which has a check mark. When the Opportunity task is due, It will populate in the “opportunities section of the “My Day”. On the “My Day” tab, Click on a task card in the Opportunity section. The “next follow up” details populate above the contact record in the workspace. Click the “Trashcan” icon to delete this Opportunity, or the “Pencil” icon to edit this follow up action. Click on the name of this deal to open and edit the full view of the opportunity record. click the “back to My Day” next to the Opportunity name, to return to the “My Day” view. Your Opportunity tasks are organized as “Overdue” and “Due Today”. To clear an opportunity task from your list, click the pencil icon, enter your next action in the field provided, update the day and time and hit “save”. Your next action will show up in the “My Day” the next time it is due. The “My Day” will quickly become your go-to resource for organizing and executing on the daily activities that keep you in communication with your contacts, and help you close more business.
